The daily problem

Rates change every morning. Lots arrive from farmers and other mandis with a gross weight, a tare and a deduction, and some of it will not keep past tomorrow. Buyers take on credit and say they will pay on Friday. At the end of the day you must work out what each farmer is owed after commission, charges and spoilage.

What you can do

  • Set a buying and selling rate for each product every day. An earlier day’s rate carries forward and is marked as not set today.
  • Receive lots from farmers, mandis and suppliers with packages, gross, tare and net weight, and the days the lot will keep.
  • Sell by weight in kilograms. Stock is taken first-expiring-first.
  • Make the farmer’s patti with commission, market fee, hamali, palledari, weight cut and other charges shown line by line, then finalise it and record payment.
  • Record wastage by reason (spoilage, damage, trimming, weight loss) against the lot, with its cost.
  • See lots that go off soon, soonest first.
  • Track crates and bardana held by farmers and buyers, and collection of dues, with a note of who said they would pay and when.
  • Close the day to lock its lots, sales, collections and crate entries.
  • Open reports for the rate board, receipts, wastage and expiring lots as PDF, Excel or CSV, or print them.

How a day goes

  1. Set today’s rates on the board.
  2. Receive lots as trucks come in.
  3. Sell to buyers by weight, cash or credit.
  4. Record wastage as it happens.
  5. Make each farmer’s patti and pay it.
  6. Close the day.

What is still in beta

  • Fresh Produce is built and tested, but no produce trader has confirmed it in daily use yet.
  • The rate board, receiving and wastage are also on the Android app. The patti, charges and day closing are on the web only.
  • Not built yet: weighbridge or scale integration, e-NAM, buyer-side charges on the sale, and advances to farmers recovered on a patti.

Questions

Can I sell different grades at different rates? Yes. Make each grade its own product, such as Tomato A and Tomato B, and each gets its own rate, stock and cost.

Does it handle commission and market fee? Yes, as shop-wide charges, with a farmer’s own terms on top. Check the figures with your accountant before you rely on them.
